Human resource management system: what the term covers and what it leaves out

A human resource management system is the software an employer uses to hold the employment relationship and run the administration that goes with it. The phrase is older than most of the products sold under it and is used loosely, so the useful question is not what the category means but which of four jobs a given product does well: holding the record, paying people, managing time and absence, and hiring or developing them.

The four jobs, and why no product is equally good at all of them

The record is a data problem, payroll is a compliance problem, time and absence is a workflow problem and hiring is a marketing problem. They need different engineering and attract different specialists, which is why suites are usually strong in one or two and adequate elsewhere. Identifying which of the four matters most to you is the whole of the shortlist work; everything after that is comparison shopping.

Where the term misleads buyers

Vendors use human resource management system, HRIS, HCM and HR platform interchangeably, so the label tells you nothing about scope. Two products with the same description can differ on whether payroll is included, whether recruiting is a module or a partner, and whether the system holds a dated history or only current values. Always resolve the description into a list of what it does before comparing prices.

What to look at before features

Whether it can represent your actual workforce, including part time, multiple contracts and future dated changes; who can see each field; and what an export of one person's full record looks like. A product that handles those three well will be serviceable even where its feature list is short, and a product that handles them badly will frustrate you regardless of how long the list is.

Questions people ask about human resource management system

Is a human resource management system the same as an HRIS?

In everyday use, yes. HRIS tends to emphasise the record and its reporting, while the longer phrase is often used for suites that include payroll and time. Neither label is a specification, so compare capabilities.

Does it include payroll?

Sometimes. Some products run payroll themselves, some are certified against a payroll product, and some export a file. The three are very different purchases, and vendors describe all three as integrated payroll.

What size of employer needs one?

The usual trigger is managers making decisions the owner does not see, which is often somewhere between twenty and fifty people. Below that a payroll product and an orderly set of files can be honest and sufficient.
