A three afternoon evaluation

  1. Afternoon one: load real people. Take twenty of your own employees into a trial, with their real start dates and contracted hours. Note every field the import cannot take and every person it refuses. That list is your migration, and it is better known now.
  2. Afternoon two: run one real request. Have somebody who is not in HR book a day off and have their manager approve it. If either needs help, the product will not be used by the people it was bought for.
  3. Afternoon three: ask for the year. Produce a report of absence by person for the last twelve months, and an export of everything. If both work, the product will survive your leaving it. If neither does, keep looking.

What an SME is really buying

Not a system of record in the sense a large employer means it, but an end to being asked. The value sits in self service, in a calendar everybody can see, and in one place that holds contracts and right to work documents so that nobody hunts through email for them.

Products that lead on analytics and workforce planning are selling to a different buyer. They are not worse, but their cost falls on the same scarce person, and the reporting they offer answers questions an SME is not yet asking.

Hr software sme pricing and the band trap

Per employee pricing usually has bands, and SMEs sit near a boundary more often than large employers do. Hiring four people can move a price more than a module can. Ask where the next band starts and what the price becomes, before comparing quotes.

Ask also what happens if headcount falls. Contracts that price growth and ignore shrinkage are common and are worth negotiating while the vendor still wants the signature.

Reporting beyond the standard set, and anything to do with an unusual contract. A term time worker, an apprentice on a changing rate, somebody on two contracts: products at this end of the market often handle one of the three and route the others through a note field.
