Testing for adoption rather than capability
- Watch somebody use it cold. Give a colleague the login and one task, and say nothing. What they do in the first two minutes predicts the next two years better than any demonstration.
- Check the notification path. Approvals that arrive by email with a working link get done. Approvals that require remembering to log in do not. Ask exactly what a manager receives and what happens if they ignore it.
- Count the logins. If people already live in one messaging or identity tool, a product that signs in through it will be used and one that does not will be resented. This is a small detail with a large effect at this size.
The difference between a system and a service
A good part of the market sold to small employers under the phrase hr solutions for small business is advisory: an outsourced HR line, template contracts, and a portal attached. That can be excellent value, and it is a different purchase from software, with a different renewal and a different exit.
