What is hr software: what does hr software do, and what it does not

HR software is the system an employer uses to hold the employment relationship and run the administration attached to it: who works here, on what terms, what they are owed, what they have been given and what happened when. Products differ mostly in how many of those jobs they cover and how well, and the category words vendors use are labels rather than specifications.

What HR software does, job by job

  1. Holds the record. The employment record is the core: personal details, contract terms, pay, hours, documents and the history of every change with a date and an author. Everything else in the category asks this record a question, which is why its quality outlives whichever features you bought it for.
  2. Runs the recurring administration. Leave requests and entitlement, absence recording, probation and review dates, document issue and acknowledgement. This is where the time saving is, because these are the tasks that otherwise arrive as messages to one person.
  3. Reports on what happened. Headcount, turnover, absence and cost, ideally answerable for a past date rather than only today. Reporting is the feature buyers use least in year one and most in year three.
  4. Connects to payroll. Either by running payroll, by being certified against a payroll product, or by exporting a file. The choice determines whether somebody reconciles two systems every pay cycle, which is the most commonly underestimated cost in the category.

What HR software does not do

It does not make employment decisions and it does not make you compliant. It records what you did and reminds you when something is due, which is genuinely valuable and is not the same as judgement. A product marketed as ensuring compliance is describing a filing cabinet with alerts.

It also does not improve data that was never collected. Reporting exposes the quality of the record, and buyers are often surprised that the first months of a new system are spent on data rather than features.

How the category is divided

Roughly: core HR and the record, payroll, time and attendance, absence, hiring and onboarding, performance, learning and engagement. Suites bundle several; specialists do one properly. Neither is generally better, and the right answer depends on which job hurts most today.

The labels HRIS, HCM and HR platform map loosely onto how much of that list a vendor covers, and are not reliable enough to shortlist by.

Who needs it and when

The usual trigger is managers making decisions the owner does not see, or nobody being able to answer a question from a file. Before that, payroll plus an orderly document set is an honest answer, and buying early mostly buys features nobody has time to configure.

It will keep records and prompt you, which helps. The obligations remain yours: a product cannot conduct a right to work check, hold a difficult conversation or decide a dismissal is fair.
