Reading a free tier honestly

  1. Find the user cap and what happens at it. Most free tiers cap headcount. Find out whether crossing it degrades the product, prompts an upgrade, or locks the data, and whether the cap counts leavers.
  2. Check document storage and retention. Free tiers often store documents with no expiry handling and no retention rules. That is the half of the product carrying an obligation, so its absence is the real price.
  3. Check the export. A free product with a full export is safe to try. One without is a decision you cannot reverse, and the data is the thing you would be trying to keep.

What is usually free and why

A directory, a leave calendar, and basic self service. These attract daily users and cost the vendor little, and they genuinely solve the first problem a growing employer has, which is that nobody knows who is off.

They are also the parts most easily replaced, which is why giving them away is safe for the vendor. The switching cost appears once documents and history accumulate, and that is exactly where the paid tier starts.

Hr software free against a free trial

A hr software free trial is a different thing from a free tier: it is the full product for a period, and it is the better way to evaluate because it shows what you would actually own. Trials that quietly exclude the integrations are the exception worth checking for.

Where both are offered, use the trial to evaluate and the free tier to decide whether the cheap version would have been enough. Those are different questions and the free tier answers only the second.

Free hr system for small business as a genuine answer

Below about twenty people with no unusual contracts and payroll elsewhere, a free tier plus a tidy document folder is a defensible arrangement. It is not a compromise if the obligations are small and the record is short.

What makes it a compromise is growth, because the move off a free tier happens at the worst moment, usually when hiring. Check the export before you rely on it rather than at the point you need it.

Only if it stores the document itself with an expiry and a permission model. A note saying a check happened is not evidence, and several free tiers offer nothing more.
