Lists of payroll software are useful for one purpose and harmful for another. They are an efficient way to discover that a vendor exists. They are a poor way to decide, because the ordering reflects the list maker's criteria, their commercial arrangements, or simply which vendors have the most reviews, and none of those is your filing profile.

Turning a list into a shortlist
- Find the criteria, or discard the ordering. A ranking without stated criteria is an opinion with numbers on it. Keep the names, throw away the order, and apply your own filter.
- Filter on the three facts that eliminate. The jurisdictions you file in, whether you pay contractors, and whether an accountant needs access. Most long lists collapse to four or five candidates on those three alone.
- Check the list's date and the vendor's status. This market consolidates constantly. A two year old list will name products that have been acquired, renamed or closed to new customers.
What popularity actually measures
Marketing reach and time in market, mostly. The most widely used payroll products are widely used partly because they are good and substantially because they were early, are bundled with accounting software, or are what accountants were trained on.
That is not a reason to dismiss them. A large installed base means a deep pool of people who can help you, and for payroll that matters more than in most categories. It is a reason not to treat position on a list as a quality score.
Why the same names appear everywhere
Affiliate economics. Payroll software pays well for a referral, so the products with the largest referral budgets appear on the most lists, near the top. This is legal, usually disclosed somewhere, and completely invisible in the ordering itself.
The test is whether a list ever says a product is unsuitable for somebody. Lists that name a weakness and a buyer it does not suit are doing comparison; lists where every entry is excellent for a different reason are doing distribution.
What payroll software examples are good for
Seeing the shape of the category before you know the vocabulary. Looking at four products teaches you what a pay run screen, a filing calendar and a year end process look like, which makes every later demonstration faster to read.
Use them that way and then leave them behind. The decision belongs to your own filing profile, your accountant's constraints, and the parallel run, none of which any list can perform for you.

- Are review site rankings trustworthy?
- The reviews often are; the ordering frequently is not, because it weights volume and recency. Read the one and two star reviews from employers your size and ignore the score.
- Does the biggest vendor mean the safest choice?
- For continuity, often. For fit, not at all. Large vendors serve every segment and are outstanding for some and indifferent for others.
- How many products should a shortlist hold?
- Three is enough to compare and few enough to run a parallel period against. Longer shortlists mostly generate meetings.
