The four questions hosting decides
- When do releases land?. Ask whether updates are applied on a schedule you can see, whether you get a sandbox first, and whether anything can be deferred. A central system that changes without notice is a governance problem rather than a convenience.
- Where does the data sit?. Ask for the hosting region and the subprocessor list. Both are ordinary requests and the list is the one that changes, so ask how you are notified when it does.
- What happens in an outage?. Ask for the published status history and the contractual availability. A vendor with a public status page and a year of history is easier to trust than one with a number in a contract.
- How do you leave?. Ask for the export format, whether history is included, and how long the data remains available after termination. These are the terms that turn a subscription into a commitment.
What cloud hr systems removed and what they added
They removed version lag, server maintenance and the upgrade project, which were the three worst parts of the previous generation. That is a genuine improvement and it is why the category won.
They added a dependency on somebody else's release schedule and somebody else's availability. Neither is a reason to avoid them, but both are reasons to read the operational terms rather than only the functional ones.
Hr software cloud claims that need checking
Multi tenant and single tenant are both sold as cloud and behave differently: single tenant often means your instance can lag a version, which is an advantage for stability and a disadvantage for security fixes. Ask which one you are buying.
Ask also whether any part of the product is delivered from a partner in some countries. Where it is, the hosting answer you were given applies to the core and not to that country.
The integration surface
A hosted product is only as useful as its interfaces, and this is where products separate more than on hosting. Public documentation, a sandbox you can reach without a sales call, and read and write access to the objects you care about are the three signals worth checking.
Where those exist, future integrations are work. Where they do not, they are projects with a vendor invoice attached, and the difference compounds over the life of the contract.

- Is anything still worth hosting ourselves?
- Rarely for HR, and usually for a reason unconnected to the software, such as a regulatory constraint on where data may sit or an existing obligation to run systems inside a particular estate.
- Does hr software in the cloud mean our data leaves the country?
- Not necessarily. Region choice is common and transfer mechanisms exist where it is not. Ask for both the storage region and the transfer basis, because they are separate answers.
- How much notice do vendors give for changes?
- It varies from months with a sandbox to none at all. Ask for the release policy in writing during evaluation, because it is much easier to obtain then than afterwards.
- What is a reasonable availability commitment?
- Less important than the status history. A published record of real incidents tells you more than a percentage, and a vendor willing to show one is telling you something by doing so.
