Hris tools are usually compared on a chart of ticks, which is the format least likely to produce a good decision, because a tick records that a vendor said yes. A comparison that means something records what was demonstrated, by whom, on whose data, and that changes both the chart and the outcome.

Building a comparison you can defend

  1. Score demonstrated, described, absent. Three states instead of two. A described feature is not a lie and it is not evidence, and separating the two is the single change that makes a comparison chart useful.
  2. Use one dataset for every vendor. The same twenty employees, including the awkward ones, in every trial. Comparisons on vendor sample data compare sales engineering.
  3. Record who saw it. A name and a date against each demonstrated score. It sounds bureaucratic and it stops the chart drifting in the week after the demonstrations, which it otherwise always does.

What an hris comparison chart should have as columns

Not modules. The record model, permissions, reporting across time, the payroll join, the export, and the total three year cost. Six columns, each scored on evidence, and the ordering that falls out is usually stable.

Modules belong in an appendix. They matter, and they are the tiebreak rather than the comparison, because a product that loses on the six will not be rescued by a module.

Hris software systems and the trial that replaces the chart

Where vendors offer trials, a week of real use beats any chart. The things a trial reveals are exactly the things a chart cannot hold: how long an import takes, how many clicks an approval needs, what happens when somebody types something unexpected.

Where trials are not offered, ask for a guided session on your own data instead. A vendor who refuses both is telling you something about how the product behaves outside a script.

An hris evaluation template that stays useful

Keep the evidence with the score. A template that holds only numbers is unreadable six months later, when somebody asks why the second product was rejected and nobody can remember.

Two sentences per row is enough. The template then doubles as the decision note, which is the document that makes the next review cheap rather than a fresh start.

Common questions

Is an hris tool different from an HRIS?
In practice the singular tends to mean a single purpose product and the plural a market. What matters is whether the product is a system of record or a reader of one, and the name does not say.
Should we use a published comparison chart?
As a source of candidates, yes. As a decision, no, because the criteria are not yours and the ticks record vendor claims rather than demonstrations.
How long should a trial run?
A week of real use with real data. Longer and it turns into a project; shorter and you only see the parts that work first time.
Can we compare on price alone if two products tie?
Yes, provided the tie is on demonstrated evidence and the price is a three year total including implementation. A genuine tie on that basis makes price the right decider.
