Agreeing the process before the product
- Define reporting: who, when, how. By a stated time, to a named person, by a method that is not a text message to a colleague. Most absence disputes begin with a disagreement about whether absence was properly reported.
- Set triggers and say what they mean. A trigger starts a conversation, not a sanction. Publish them, because a hidden threshold that people discover when it fires reads as arbitrary and damages trust more than the absence cost.
- Separate short term from long term. They need different handling entirely: patterns and return to work conversations for one, occupational health and adjustments for the other. Products that treat them identically force the difference into notes.
What absence management actually is
Recording absence accurately, responding consistently, and supporting people back to work. It is not a mechanism for reducing absence by pressure, which tends to produce attendance by unwell people and higher costs elsewhere.
The record matters independently of any policy. Sick pay entitlements, fit notes and adjustments all depend on accurate dates, and reconstructing them a year later from emails is a poor position to be in when something is challenged.
Triggers and the return to work conversation
Trigger points based on frequency are common and reasonable when used to prompt a conversation. The conversation is where the value lies: it establishes whether something is happening that the organisation can address, and it is what genuinely reduces repeat absence.
Systems help by making the conversation happen and recording that it did. What they must not do is make the conversation feel automatic, because a manager reading from a screen produces nothing useful from somebody who is unwell or caring for a relative.
Health data, which raises the bar
Absence records touch health information, which carries additional protection. Who can see a reason for absence should be a short list, the retention period should be defined, and free text notes should be written on the assumption the person may read them.
Occupational health reports deserve particular care and usually a separate store with tighter access. Products that keep them as ordinary attachments on the employee record make that difficult, and it is worth checking before a live case arrives.
