Payroll self service

Payroll self service moves routine changes from a payroll inbox to the person they concern. Done well it removes most of the queue; done carelessly it is the easiest route into a payroll diversion fraud.

Open the things only the employee knows

Address, contact details, emergency contacts, and viewing or downloading payslips and year-end documents. These are changes the employee is the authority on, they generate most of the inbound queries, and getting them out of an inbox is the whole business case. Start here, get it adopted, then consider anything else.

Bank details are the control point, not a convenience

Requests to change bank details are the standard payroll fraud, and self service makes them easy to submit. Require verification through a separate channel, notify the previous address or number when a change is made, and put a short hold before the change affects a payment. These three steps stop nearly all of it and cost very little.

Some things must stay with payroll

Pay rates, tax codes, deductions, court orders and anything that changes gross pay. Employees can see them but should not edit them. The same applies to anything that would let a manager change their own pay, which is why the permission model matters as much as the feature list.

Access has to end when employment does

Leavers still need their final payslip and year-end documents, so cutting access on the last day creates a manual task. Decide the rule: time-limited access afterwards, or a document pack issued at exit. Either is fine and leaving it undecided means an ad hoc request to payroll from every leaver.
