Payroll reports: what payroll reporting must produce, and what a payroll report example should show

Payroll reporting is the difference between running payroll and being able to prove you ran it correctly. A product that pays people accurately and cannot show the working leaves you unable to answer a question from finance, an auditor or an employee. The reports that matter are few, and they divide by who reads them: the person approving the run, the accountant posting it, and the auditor asking about a period that closed months ago.

The pre payment report is the control

Before money moves, somebody who did not prepare the run should compare this period to last by department, with variances explained. Starters, leavers and one off payments account for most differences; anything else is worth a question. This single report catches nearly everything that would otherwise reach a bank file.

The journal is what finance actually needs

The payroll journal posts gross pay, employer costs and deductions to the right accounts and cost centres. Check it in a trial against your chart of accounts rather than accepting that an export exists, because a journal that needs reworking every period is a monthly job somebody inherits.

The statutory reports are not optional

Whatever your jurisdiction requires at each payment and at year end has to come out of the product with your figures in it. Ask which returns are produced, which are filed by the vendor, and what happens when a correction spans a filed period.

The historical report is the one you will need urgently

A question about a pay period two years ago arrives with a deadline attached, usually from a tribunal, an auditor or a former employee. Ask what detail is retained, how far back, and how quickly it can be produced without the vendor's help.
