Hr software saas

HR software is bought on features and lived with on terms. The clauses that decide whether a contract feels fair in year three are ordinary and are almost always negotiable before signature: how the price can rise, whether user counts can fall, who else processes the data, and what happens when you leave.

Price and headcount, in both directions

Per employee pricing has bands, and most contracts price growth while ignoring contraction. Ask where the next band starts, what the price becomes, and whether the count can fall mid term. A cap on renewal increases is the other clause worth asking for, and it is commonly conceded when raised early.

Sub processors and notice

Ask for the list by name and for notice before it changes. An HR system typically involves several downstream services for email, storage and analytics, and you are accountable for the whole chain. This is ordinary diligence and a vendor who cannot produce the list quickly is telling you something.

Data return and deletion

Format, period and evidence. Employee records carry retention duties that outlast the contract, so a short post termination retention window is a real problem rather than a detail. Ask specifically whether deletion covers backups and how it is evidenced, because you may have to demonstrate it.

Questions people ask about hr software saas

Can we reduce user numbers mid contract?

Often only at renewal unless negotiated. Ask before signing, because headcount falls as well as rises.

What is a reasonable contract length?

Shorter than vendors prefer. At small and mid size, flexibility is usually worth more than the discount for a long term.

Should we ask for a price cap?

Yes, and it is frequently granted. Renewal increases are where the cost of these systems actually grows.
